- FOR CITY + FESTIVAL COORDINATORS
Published day rates, worked festival cost examples, insurance and W-9 the same day you ask. Everything a coordinator needs to put a real number in next season's budget.
Why This Page Exists
Every other production company in this market hides pricing behind a form. That is fine for a wedding. It is useless to a parks and rec coordinator drafting next summer's budget in October, who needs a defensible number on a line item before anybody will let them talk to a vendor.
So here are the numbers. Take the one that matches your event, put it in the budget, and call me when you want to talk about the event instead of the price. If your council needs it on paper, the one page version is a PDF you can print or attach to a requisition.
Published Rates
All in for the day. Equipment, engineer, setup and strike. Delivery and travel are quoted separately and shown on the quote, never buried in the rate. Every number here is audio. Staging, power distribution and lighting are quoted separately.

A day is
10 hours on site, first truck to last case.
Overtime
Hours 11 and 12 bill at 1.5 times the crew rate. Past hour 12, 2 times.
Multi day events
Day two and after, equipment drops to 50 percent because the system stays rigged. Crew stays at full rate, because they work a full second day.
Gear without a crew
Dry hire is 30 percent off the operated rate. You run it, you carry the risk.
To hold a date
25 percent deposit. The date is not reserved until it is paid, and I will always tell you straight where a date stands.
Renting gear without a crew is cheaper and sometimes the right call. All 74 items and their day rates are on the rental rates page.
Paperwork
The reason city work stalls is almost never the sound. It is a vendor who cannot produce a certificate of insurance the week the permit is due.
Certificate of insurance
Same day, named however your city needs it
W-9
On file and sent with the first quote, not after you ask twice
Flat written quote
Equipment, engineer, delivery and overtime terms on one page
Vendor registration
I will register in your portal the same week you ask
Track Record
Twenty nine years behind consoles. Ask for a reference from a coordinator who runs an event like yours and I will give you a name and a number, not a logo wall.
One Page, Printable
Same numbers as this page, on one sheet, with insurance and W-9 details on it. Attach it to a requisition or hand it to your council.

Because you cannot open a purchase order against a phone call. A coordinator building next summer's budget in October needs a number to put on a line, and every other shop in this market makes you book a sales call to get one. I would rather you build the budget, decide I fit, and call me about the event instead of about the price.
Yes, same day, named however your city or your risk manager needs it. The W-9 goes out with the first quote instead of after you chase me for it. If your city uses a vendor registration portal, tell me which one and I will register the same week.
The packages above are real numbers for what is described. Unusual venues, generator power, extra stages or long load ins change the total, and I tell you exactly how before you commit. Nothing changes after the quote is signed.
On corporate and municipal work, if an audio failure on my end stops your program, you do not pay for the show. Backup gear rides in the same truck on every job. That is not a marketing line, it is the reason the backup exists.
Both, depending on the show. I am the person you plan with start to finish, and when a job needs more hands I bring in other owner-operators, not day labor. Entrepreneurs bring drive and judgment I cannot train into a temp, so I pay more for better people and the event goes better.
Big outdoor coverage is the specialty. Fourteen years of a three stage festival on Antelope Island with 10,000 people across the weekend, plus parades, crit races and fireworks sync. A basic DJ rig will cost you less and half the park will not hear it. That is the honest trade and I will tell you which one your event needs.
Tell me the event, the date, and the headcount, and you get a flat written quote the same day.
